Executive Assistant

WeWork is currently seeking an experienced Executive Personal Assistant to support three members of our senior leadership team. As an Executive PA or EA, you will be supporting the our senior managers in all aspects of their daily needs. From calendar management, project coordination, expense reports, to booking international travels and other EA/PA responsibilities.

The successful candidate will be pleased to find that we have a strong support system in place which will enable them to be a key contributor to the success and smooth running of our office.

Your primary responsibilities will include (though not limited to):

  • Manage scheduling, travel, expenses etc.
  • Help screen and prioritize inbound emails and phone calls; draft responses as necessary
  • Preparation of reports and documents
  • Amending PowerPoint presentations
  • Liaising with clients and colleagues
  • Work collaboratively with others
  • Collaborate with different departments EA/PAs (external and internal) to ensure that any projects and any on going needs for the company are addressed and delivery expectations are met
  • Help solve and manage issues that come up

Responsibility:

  • Project Management: Follow up with various team members and/or other departments on projects.
  • Compile results and prepare top-sheet notes for executive review.
  • Compile and draft weekly report for historical documentation as well as prospective planning.
  • Screen and prioritize inbound emails and phone calls; draft responses as necessary.
  • Manage scheduling, travel and day-to-day needs.
  • Prerequisites & Qualifications:
  • Available immediately with flexibility
  • Bachelor's degree
  • Strong Excel, Word and PowerPoint skills
  • 3 years min experience in a similar role supporting a senior leader
  • Excellent communicator – in writing, over the phone and in person
  • Entrepreneurial spirit and desire to work in a fast-paced startup environment
  • Poise under fire and ability to multi-task effectively
  • Exceptional organizational skills
  • Utmost confidence in handling sensitive and confidential issues
  • You must be efficient and well organized
  • Bubbly and approachable with a 'can do’ attitude
