Legal Executive Assistant

Overview

TIBCO Software Legal department seeks an Executive Assistant to support the regional General Counsel for APJ. You will perform a wide range of administrative and support responsibilities and should be a natural people person. You will be an agile multi-tasker with strong communication and organizational skills, enjoy the challenges of supporting a busy executive and embrace the opportunity to be play of a forward-thinking company.  

What You'll Do

Key responsibilities will include:

  • Provides EA support to the General Counsel in a variety of capacities; coordinate and maintain General Counsel calendar, coordinate travel arrangements, expense reimbursements, mail handling, processing of letters, correspondence, invoice and expense reporting, and file maintenance.
  • Extensive coordinating and scheduling of meetings with staff and outside individuals including coordinating calendars.
  • Reserving conference rooms/ordering catering if required, setting up conference calls and video conference calls as needed.  
  • Assist with advanced administration support of complex business functions/special programs/projects exercising discretion, applying rules and procedures and analyzing each situation independently.
  • Answers call/emails by providing information that is related to sensitive and confidential information.
  • Work independently and within a team on special nonrecurring and ongoing projects.
  • Retrieves information from files when needed.
  • Performs other duties as required.

Who You Are

  • Associate degree in Business Administration or equivalent professional experience.
  • 5-8 years of progressive experience supporting a senior legal executive in a business environment.
  • Excellent time management skills, as well as verbal and written communication skills.
  • Ability to maintain strict confidentiality of employee and department issues.
  • Excellent organization skills, attention to detail with high degree of accuracy, and the ability to work independently and exercise good judgment.
  • Excellent interpersonal and customer service skills with the ability to communicate verbally and in writing with all levels of associates (Presidents, Sr. Vice Presidents, Vice Presidents and Directors and all staff levels at TIBCO and external vendors: must display patience, humor and helpfulness at all times).
  • Experience with policies, practices, and procedures in a business environment.
  • Flexible; able to adapt to changes in work and priorities.
  • Excellent organization, planning, time management and follow-up to handle multiple tasks in a fast-paced environment.
  • Proficient in Microsoft products (Visio, Word, Excel and PowerPoint), Gmail and Google Drive.
  • Must be proficient in use of technical and web-based solutions such as e-meeting/webinars and in general use of internet and social media applications. 
  • Experience dealing with contracts, purchase agreements, supporting a legal function/team in a previous role, would be a highly advantageous.
