Lease Financial Administrator
Purpose
Manage the day-to-day activities of WeWork’s Real Estate portfolio. Support a diverse set of company needs from basic management of lease abstractions and critical dates. Responsible for portfolio lease input and tracking to enable the company to make strategic real estate decisions that support WeWork’s expansion and growth.
Accountable For
- Responds to Landlord (LL) inquiries regarding payment statuses by providing remittance instructions/payment transaction details
- Processes LL invoices: receives, reviews, challenges (where applicable), codes, and files; confirms/compares invoiced rent and additional rent amounts against the Lease documents and the entries made in/to the Lease database
- Tracks savings and avoidances resulting from invoice reviews
- Performs account reconciliations to ensure all LL billed fixed-recurring rent expenses were billed as per the terms of the Lease agreement and payments applied as WeWork intended
- Works closely with the Building Operations (Ops) team to ensure that sundry charges and other building related expenses are reviewed, approved and payment remitted to LLs timely
- Establishes and maintains working relationship with internal stakeholders, landlords and subtenants
- Processes rent rolls utilizing the Visual Lease (VL) database
- Writes narratives for monthly variance reports, providing analysis and interpretation of lease information to/for approvers
- Prepares export of batch file(s) and sends to accounting for payables processing
- Processes/calculates all appropriate pass-through expenses to subtenant(s), reconciles subtenant accounts, and prepares monthly subtenant invoices
- Designs reports utilizing various report writers, Excel, Word, and/or Access
- Prepares portfolio analytics reports, segmented by territory, country, market, and region
- Supports the accounting/finance functions with budgeting and forecasting of rent and rent-related expenses
- Conducts financial analysis/accounting as appropriate, including AR/AP, rent rolls, and budgets in accordance with required accounting principles (GAAP, Tax, Cash, etc.)
- Cross-checks and reviews work of peers to ensure quality and accuracy of data
- Prepares and distributes periodic and ad hoc reports in a timely and accurate manner
- Performs other duties as assigned
Capabilities
- The ideal candidate will have a Bachelor’s Degree in Business, Accounting or Finance
- Previous experience in lease administration, accounting or property management
- Expertise in understanding and interpreting complex commercial lease language
- Advanced proficiency in Microsoft Office (Word, Excel, and Outlook) with the capability to master company specific accounting and database programs
- Strong financial and analytical skills
- Exceptional attention to detail and organization skills
